Instructions for Merging Data Files

 These instructions guide one through the monthly merging of the data from all of the agency’s PC’s onto one PC in preparation for the monthly transmittal of information to the State.

  1. Collect all the backup disks from all workstations.
  2. Insert the first (or next) backup disk into the floppy drive.
  3. Close EasyTrak.
  4. Locate the EasyImport program. (It should be in the directory C:\EasyTrak32\Data. It may display a .exe extension.)
  5. Double-click on EasyImport and the EasyTrak 2000 Import Utility should open.
  6. By default, all of the checkboxes in the left window should be checked.
  7. Activate the Browse window by clicking on the open-folder icon on the right end of the “1) Select database or backup file to extract data from” window.
    1. Locate drive “A:” in the “Look in:” window of the browser and select it.
    2. The “EasyTrak.SBK” file should appear in the window. Select it.
    3. Click on “Open.” The Browse window should close and “A:\EasyTrak.SBK” should appear in the extract from window.
  8.  Again activate the Browse window by clicking on the open-folder icon on the right end of the “2) Select database file that will receive them (sic) data” window.
    1. Locate drive “C:” in the “Look in:” window of the browser and select it.
    2. A list of folders should appear in the window. Select the EasyTrak32 folder.
    3. Another list of folders should appear. Select the “Data” folder.
  9. Activate the Browse window by clicking on the open-folder icon on the right end of the “1) Select database or backup file to extract data from” window.
    1. Locate drive “A:” in the “Look in:” window of the browser and select it.
    2. The “EasyTrak.SBK” file should appear in the window. Select it.
    3. Click on “Open.” The Browse window should close and “A:\EasyTrak.SBK” should appear in the extract from window.
    4. The “EasyTrak.GDB” file should appear in the window. Select it.
    5. Click on “Open.” The Browse window should close and “C:\EasyTrak32\Data\EasyTrak.GDB” should appear in the receive data window.
    6. By default, the “Create New Database” check box is checked. That’s OK.
    7. Click on the “Start Import” button. The progress bars will show what’s happening.
    8. A small box saying finished will appear. Click “OK.”
  10. You can now process the next floppy by simply inserting it into drive A: and clicking on “Start Import” again.
  11. When done, close the Import Utility
